Position Summary Information

Job Summary

Under the direction and supervision of the Director of Financial Aid, the Assistant Director of Financial Aid works as part of the Financial Aid team and is responsible for a full range of administrative and financial aid functions. The primary responsibilities include: management, review and awarding of student caseload, overseeing federal compliance regulations for all financial aid programs, participation in key college events and presenting to prospective students and families. Assists the Director in the performance of all day-to-day operations of the Office of Financial Aid. These activities include meeting individually with students, corresponding and talking on the telephone with students and families about financial aid issues, and keeping current on federal and state regulations and procedures. The Assistant Director administers various federal, state, and institutional financial aid programs and provides support and advising to continuing students and graduates by performing the duties outlined below.

Essential Responsibilities

Student Caseload Management

  • Manages a diverse caseload, including graduate students, adult learners, veterans/service members and their dependents
  • Counsels students and their families about all aspects of financial aid including application process, eligibility requirements, available federal, state, and institutional financial aid programs, budgeting, debt management, federal and private loan borrowing, and loan repayment
  • Informs students about federal regulations and institutional policies
  • Reviews financial aid applications; determines need and eligibility
  • Packages accurate and timely financial aid awards in compliance with federal and state regulations and in accordance with institutional policies
  • Reviews federal loan information through NSLDS, COD and other federal websites
  • Oversees quality control, compliance and system integrity for unit
  • Resolution of conflicting information
  • Exercises professional judgment

Program Management

  • School Certifying Official responsible for veterans’ enrollment certification via VA-Once
  • Responsible for veterans program management and maintenance of DOD and WEAMS
  • Oversees all student verification including development of procedures, documentation, tracking, review and follow-up
  • Acts as a resource and referral for families to assist with problem-solving for complex verification requirements
  • Financial Literacy Program Coordinator
  • Oversees debt and default management strategies

Outreach & Education

  • Builds a cooperative relationship with students, parents, other college offices and the community at large
  • Provides assistance and counseling for HEOP students including workshops and literacy outreach
  • Assists with on and off-campus recruitment events including developing and presenting financial aid information to prospective students and their families in groups and one on one
  • Works with Student Accounts in resolving student balances
  • Conducts financial literacy workshops
  • Conducts financial aid training for college and departmental staff

Departmental Operations

  • Monitors daily import of FAFSA applications into Ellucian Colleague
  • Reviews/updates departmental communications and documents
  • Assists the Executive Director in analyzing, monitoring and interpreting industry developments in financial aid and ensure compliance with applicable rules, regulations and policy
  • Coordinates graduate student application review and packaging. Assist with traditional and CPS packaging as needed


  • Maintains compliance with all federal and state regulations pertaining to the administration of financial aid
  • Assists with development and maintenance of office policy and procedures
  • Ensures proper procedures are followed concerning data management, file maintenance and confidentiality adhering to FERPA, federal regulations and institutional policies
  • Attends conferences and webinars to stay current on financial aid policies and practices

Systems & Reporting

  • Remains current with knowledge and use of institutional software (i.e Ellucian, ELM, EDConnect, EDE Express, NYSHESC, NSLDS, COD and SAIG mailbox)
  • Configures and operates Ellucian and other financial management systems to ensure maximum operational efficiency and effectiveness
  • Assists with the department’s website content and financial aid forms available for download

Additional Responsibilities:

  • Maintains a professional and courteous attitude at all times towards co-workers, internal and external customers, representing Keuka College, its programs, policies and procedures in a positive and professional manner.
  • Maintains effective working relationships to ensure institution-wide teamwork.
  • Attends provided/necessary trainings and other meetings to support effectiveness within the position as required.
  • Consistently demonstrate high standards of integrity by supporting the Keuka College mission, vision and values and adhering to institutional policies.
  • Maintains high regard for student privacy in accordance with the FERPA privacy policies and procedures.
  • Regular and reliable attendance is expected and required.
  • Performs other functions as assigned by management.
Minimum Qualifications
  1. Bachelor’s degree required. Master’s Degree preferred.
  2. Two years’ experience in financial aid or related field.
  3. Ability to effectively communicate both verbally and in writing.
  4. Understand and behave with a high level of integrity and complete confidentiality at all times.
  5. Ability to be sensitive to and respond to needs/concerns of students, faculty, college staff and the public.
  6. Ability to work under pressure with a high tolerance for interruptions, and the ability to work with diverse groups of people.
Physical Requirements
  • Some performance of job duties will require travel to branch campus locations.
  • Some evening hours and occasional weekends.
  • Occasional lifting up to 25 lbs.
